This manual defines operational standards, governance requirements, and execution guidelines for all Eagle Lights partners, certified technicians, and internal team members.

Goals

Purpose

Goals define measurable outcomes. Every activity and task must align to a goal.

How It Works

  1. Create a goal with clear success criteria
  2. Assign an owner responsible for delivery
  3. Define measurable completion criteria
  4. Link activities to the goal
  5. Track progress through activity completion

Rules & Governance

  • Goals cannot be marked complete without linked tasks
  • Every goal must have a defined owner
  • Completion criteria must be measurable
  • Managers must verify goal completion

Common Mistakes

  • Creating goals without measurable criteria
  • Closing goals without verification
  • Using vague success definitions

Activities

Purpose

Activities are structured work blocks that break goals into executable phases.

How It Works

  1. Define activity scope and expected outcome
  2. Assign responsible person or team
  3. Break activity into specific tasks
  4. Set completion timeline
  5. Track task completion rate

Rules & Governance

  • Activities must link to a parent goal
  • Each activity must contain at least one task
  • Activities require manager approval before closing
  • Status must reflect real completion (not estimates)

Tasks

Purpose

Tasks are the smallest actionable units of work. They represent specific deliverables or actions.

How It Works

  1. Create task with clear description
  2. Assign to specific person
  3. Set due date
  4. Execute and collect evidence
  5. Submit for verification

Rules & Governance

  • Tasks must be specific and actionable
  • Evidence is mandatory where verification is enabled
  • Tasks cannot be closed without evidence (if required)
  • Verification must be done by assigned reviewer

Task Quality Standards

A well-defined task answers: What needs to be done, by whom, by when, and what evidence proves completion.

Evidence & Verification

Purpose

Evidence creates accountability. Verification ensures quality control before work is accepted as complete.

How It Works

  1. Complete task and collect evidence (photos, documents, screenshots)
  2. Upload evidence with description
  3. Submit for verification
  4. Manager reviews evidence
  5. Manager approves or rejects with feedback

Rules & Governance

  • Evidence is mandatory for tasks marked “requires verification”
  • Managers can Verify or Reject with comments
  • Rejected tasks must be reworked and resubmitted
  • Only verified tasks count toward completion metrics

Evidence Standards

  • Photos must be clear and show relevant work
  • Documents must be legible and complete
  • Timestamps must be recent (not historical)
  • Descriptions must explain what the evidence shows

Certified Technician Management

Purpose

Maintain a verified, quality-controlled network of automotive lighting installation technicians across East Africa.

Certification Requirements

  • Complete Eagle Lights installation training
  • Pass practical installation assessment
  • Maintain minimum 4.0 average rating
  • Comply with quality and safety standards
  • Maintain active profile with accurate information

Suspension Triggers

  • Rating drops below 4.0
  • Unresolved customer disputes
  • Failed quality audit
  • Violation of safety standards

Quality First

Technician certification is a privilege, not a right. Suspension is automatic when standards are not maintained.

Inventory & Order Management

Stock Status Standards

  • In Stock: Available for immediate dispatch
  • Low Stock: Less than 10 units remaining
  • On Backorder: Can be ordered but delayed delivery
  • Out of Stock: Not available, restock pending

Order Processing Workflow

  1. Customer places order
  2. Payment verification
  3. Stock allocation
  4. Packaging and labeling
  5. Dispatch with tracking
  6. Delivery confirmation

Governance Rules

  • Stock levels must be updated daily
  • Backorders must state expected restock date
  • All orders require tracking numbers
  • Delivery confirmations must be captured

Quality Standards

Installation Quality Standards
